Missing the IFTA quarterly filing deadline. Late IFTA filings trigger penalties in every jurisdiction you operated in — that can mean fines from 20+ states simultaneously. Set calendar reminders 2 weeks before each quarterly due date: January 31, April 30, July 31, and October 31.
Use a digital calendar with alerts set 30 days and 7 days before each deadline. Many trucking-specific accounting firms and services will handle IFTA, UCR, IRP, and HVUT filings for you. Even if you use a service, maintain your own calendar as backup — ultimately, you are responsible.
Operating with expired IRP registration can result in citations in every state you travel through. Fines vary by state but typically range from $250-$1,000+ per violation. Some states may impound your vehicle. If your renewal is pending, carry proof of your renewal application and current cab card.
If you hold an IFTA license, you must file quarterly returns even if you only operated in your base state or did not drive at all during the quarter. File a zero-mile return rather than skipping the filing. Failure to file for two consecutive quarters can result in license revocation.
