New carriers get a mandatory New Entrant Safety Audit within their first 18 months. Beyond that, audits can be triggered by high crash rates, roadside inspection violations, complaints, or random selection. A poor CSA (Compliance, Safety, Accountability) score makes an audit more likely.
For new entrant audits, failure can result in your authority being revoked. For compliance reviews, violations can result in fines (up to $16,000 per violation), conditional or unsatisfactory safety ratings, or an out-of-service order that shuts down your operation until deficiencies are corrected.
Yes. FMCSA auditors will come to wherever you keep your records. For owner-operators, that is often a home office. Have all documents organized and easily accessible. Being prepared and professional makes a strong impression.
Generally, auditors review the last 12 months of operation, though some records must be retained longer. DQ files must go back 3 years for MVRs and previous employer inquiries. Accident registers must go back 3 years. HOS records must be retained for 6 months. Keep everything organized from day one.
